Planning Your Event: When to Book a Balloon Decorator

One of the most common questions we get is "how far in advance should I book?" The answer depends on your event type, the time of year, and how custom you want to go. Here's a practical timeline to help you plan.

The General Rule: 2-4 Weeks Minimum

For most events — birthdays, baby showers, corporate gatherings — booking 2 to 4 weeks ahead gives your decorator enough time to source specific colors, plan the layout, and coordinate logistics. This is the sweet spot for a smooth process.

Book Earlier for Peak Seasons

Certain times of year are significantly busier for balloon decorators:

• Prom and graduation season (April–June): Book 4-6 weeks ahead
• Holiday parties (November–December): Book 4-6 weeks ahead
• Valentine's Day and Mother's Day: Book 3-4 weeks ahead
• Wedding season (May–October): Book 6-8 weeks ahead for large installations

What to Have Ready When You Book

The more information you can share upfront, the better your consultation will go:

• Event date, time, and venue address — including setup access times
• Color palette or theme — even rough ideas help
• Inspiration photos — Pinterest boards, Instagram saves, anything visual
• Budget range — this helps your decorator suggest the best use of your investment
• Venue photos or dimensions — ceiling height and wall space matter for garlands and arches

Last-Minute Events

Life happens, and sometimes you need decor on short notice. Many decorators (including us) can accommodate rush orders with 3-7 days notice, depending on availability and complexity. Simple centerpieces and small garlands are easier to turn around quickly than full room installations.

That said, last-minute bookings may have limited color options since specialty colors need to be ordered. If flexibility on exact shades works for you, a quick turnaround is usually possible.
